AAR Bot Frequently Asked Questions
A. The beta test is being used to help AAR evaluate the platform before potentially offering it as an ongoing member benefit. During the two-month beta test, AAR BOT will be available to all members, who will be surveyed about their experience. Members can submit questions, comments, concerns, and feedback within AAR BOT via the Support button in AAR Bot’s left-hand navigation bar. They can also share feedback directly with the Association by emailing aarbot@aaronline.com.
Based on member usage and feedback, the Arizona REALTORS® The AAR Executive Committee will decide whether to continue offering AAR BOT as an ongoing member benefit.
A. AAR BOT generates responses using only trusted sources. Specifically, AAR BOT answers questions based on either: (i) information uploaded directly by the Association; or (ii) information obtained from a curated list of trusted, preapproved websites. This is what differentiates AAR BOT from open-source AI platforms.
A. It’s true that agents already have access to most of the information AAR BOT uses to respond to users’ questions. However, AAR BOT makes it quicker and easier to find and access that information. For example, the Arizona REALTORS® website contains a wealth of information, but it is not always easy to navigate. AAR BOT can search the site and quickly identify the relevant information, saving users time and allowing them to work more efficiently.
A. No. Your data, uploaded documents, and conversation history are isolated and strictly confidential. Other users cannot see or access your uploaded information. In other words, each member’s workspace is segregated and private. Search indexes, chat histories, and workspace files are sandboxed so that no user can search, view, or access another member’s data.
A. No. AAR BOT does not use your uploaded documents, proprietary data, or private chat inputs to train public AI models or shape answers generated for other users. Information uploaded to your account is used solely to retrieve facts and generate contextually accurate responses for you.
A. Yes. AAR BOT is built from the ground up to provide enterprise-grade data security, strict tenant isolation, and zero public AI model training. All communication between a user’s browser and AAR BOT servers is encrypted using modern Transport Layer Security to protect against eavesdropping or interception. Uploaded documents, chat transcripts, and generated artifacts stored on server infrastructure and cloud storage are encrypted using industry-standard AES-256 bit encryption.
But as a best practice, we always recommend redacting sensitive personal identifiable information such as Social Security numbers or banking details before uploading documents.
A. Unlike general-purpose chatbots, AAR BOT is explicitly designed to protect PII.
Real estate contracts and transaction documents are full of personally identifiable information: names, addresses, financial details, and in many cases credit or consumer data that federal rules like FACTA and Arizona record-keeping requirements consider sensitive. When an agent drops that document into a consumer AI chatbot, they are handing client PII to a third-party vendor whose data practices sit entirely outside your brokerage’s control. The conversation may be retained or used for model improvement depending on the platform’s tier and settings, there may be no clear audit trail, and you can’t necessarily withdraw the PII after it’s uploaded.
AAR BOT is built the opposite way:
- Individual, isolated accounts: Uploads and chat history live in your account alone; no other user can see them.
- No training on your data. Your documents and conversations are never used to train public AI models or shape answers for other users. Your information is used solely to answer your own questions in your own session.
- Encryption. Documents you upload and sessions you run are protected by industry-standard encryption, both while the data travels and while it’s stored. It is not sitting as readable plain text.
But as a best practice, we always recommend redacting sensitive personal identifiable information such as Social Security numbers, credit reports, account numbers, banking details, and similar information before uploading documents.
A. No. AAR BOT is an AI research and productivity assistant, not an attorney. For specific contractual or legal questions, agents should always consult with their Designated Broker, who has access to the Arizona REALTORS® Legal Hotline.
A. One of AAR BOT’s primary instructions is that accuracy is more important than speed. Before providing an answer, AAR BOT seeks to verify the accuracy of its answer against the Arizona REALTORS® knowledge base. This takes slightly longer but helps ensure that users are receiving more accurate responses.
A. You can upload PDFs, Word documents, spreadsheets, text files, and images directly into your chat to summarize, analyze, or draft responses based on their content. To be specific, the following file types are supported: PDF; Word (DOCX and legacy DOC); XLSX; CSV; TSV; TXT; PNG; JPG/JPEG; and GIF. Please note that there is a 30MB file size limit.
A. No. Arizona REALTORS® forms cannot be completed using AAR BOT. To complete Arizona REALTORS® forms, members must use a licensed forms vendor such as TransactionDesk.
A. Yes. Users can “pin” chats in the left-hand margin for easy access to past conversations. However, real estate laws and AAR forms change frequently. An answer that was correct when it was first given may no longer be current. So, if you’re reviewing a pinned chat, we recommend asking AAR BOT the question again to get the most up-to-date answer.
A. In-App Assistance: Users can ask AAR BOT questions directly in the chat or report technical issues right within their session via the Support button in the left-hand navigation bar.
Direct AAR BOT Support Contact: Users can submit technical queries, bug reports, or platform feedback directly through the web interface at app.brokerbot.ai.
Account & Association Business Support: For login/authentication issues related to AAR membership credentials or NRDS/M1 profile access, members should contact AAR Business Support at (480) 304-8930 or Support@aaronline.com (Mon–Fri, 8:00 AM – 4:30 PM MST).
